Job Description

Position: Registrar
Department: Staff
Work Percentage: Full-Time
Supervisor: Head of High School Academics

General overview of position:

The Registrar is responsible for academic records and credentials, from the transcript to the diploma. The Registrar keeps a permanent record of grades and marks. The nature of the registration process makes the work of a registrar a part time job. The Registrar is also responsible for overseeing the ordering of AP exams.

Specific responsibilities:

Registrar

  • Knowledge of Veracross, TASIS courses and graduation requirements
  • Knowledge of other countries’ educational systems, credits, grades

Student Files

Analyze, maintain, secure, and archive the Elementary School, Middle School and High School admission files and the permanent Transcript files of current students and newly admitted students

Student Transcripts

Collect, analyze, check, correct, generate, release, and archive both TASIS transcripts and transfer transcripts and official translations for all Elementary School, Middle School and High School students

  • Provide legalized official TASIS transcripts and HS Diplomas

Transfer Credit Count

  • Analyze HS transfer transcripts and compute credits earned in previous HS schools generating a credit count document for each HS student
  • Communicate potential graduation requirements problems to the Head of HS Academics and College Counselors

Student Courses

  • Assist in assigning courses to newly admitted HS students and enter correct courses in data base to generate accurate student schedules
  • Adjust, update, and keep records of course changes for all high school students

Assisting the College Counselors and the Head of the HS Academics

  • Provide the College Counseing Office and the Head of High School Academics with official TASIS transcripts, and complete & official transfer transcripts.
  • Communicate the credit counts and sequence of courses taken of HS students
  • Check high school students’ graduation requirements against credit counts and courses and signal potential problems to the Head of HS Academics and College Counselors

Withdrawal of Students

  • Update and archive the file and transcripts of student who are withdrawing during the school year

Grade Reports

  • Oversee and check the data entry done by the faculty during the 6 grading periods of High School and Middle School. Follow up with teachers and database manager when missing data or errors in the system
  • Archive all grade reports for ES, MS and HS students

Honor Rolls, Awards and HS Diplomas

  • Oversee, check, and generate the HS Honor Roll, prepare hard copies of Honor Roll Certificates for students on the honor roll, and distribute them to students.
  • Check that transcripts report the correct semester and year honor roll
  • Collect names and generate the departmental awards and graduation certificates and archive copies in students’ files.
  • Archive copies of HS diplomas and certificates

Test Scores

  • Gather and store SAT, PSAT, TOEFL, ACT test scores in student files

Other Tasks

  • Generate and mail a Monthly Enrollment report to the Headmaster and Head of High School Academics
  • Serve as liaison between Agents/Families and Students/Teachers for specific academic needs
  • Help alumni with necessary documentation from the college counseling Office for their college applications

AP Duties

Overseeing the ordering of AP exams, which includes:

  • Ordering exams
  • Assisting the AP Lead Teacher with the arrangement and coordination of appropriate exam locations and proctors
  • Liaising with the LRC and making arrangements for extended time students
  • Keeping clear and accurate records for billing
  • Proctoring exams when needed

Summary of education background and professional experience:

The person appointed to this position is expected to have

  • A High School and/or BA degree
  • CPR and First Aid certification
  • Experience in an administrative capacity, preferably in an international school

Professional skills:

The person appointed to this position is expected to have

  • Scheduling experience
  • Proven organizational skills
  • Commitment and integrity
  • Demonstrated proficiency in required technology (Word, Excel, basic web browsing skills)
  • English fluency/near fluency, knowledge of Italian and other languages highly recommended
  • Outstanding interpersonal skills and cultural sensitivity; able to clearly communicate both orally and in writing to a diverse group of cultures and in diverse settings

Additional comments:

The Registrar might be requested to perform other duties relevant to the position; these duties will be assigned by the School and will be in line with Swiss law provisions.
